How to Handle Negative and Fake Google Reviews

Every business gets a bad review sooner or later. It hurts — especially when you know you tried your best. But here’s something I’ve seen again and again: future customers read your reply more carefully than the review itself. A calm, honest reply can win you more trust than a page of 5-star reviews.

First: is it a real customer or a fake review?

  • Real but unhappy: they mention a real visit, a product, a date or a staff member.
  • Possibly fake: no details, a name you have no record of, a competitor’s pattern, or several similar reviews in one day.

How to reply to a genuine negative review

  1. Wait a little before replying. Never reply when you’re angry.
  2. Thank them and say sorry for their experience — even if you don’t fully agree.
  3. Keep it short and specific. Mention what you’ll do or have done.
  4. Take it offline. Give a phone number or WhatsApp so you can sort it out privately.

Example reply: “Thank you for telling us, Ramesh, and we’re sorry the delivery was late. That’s not the experience we want for anyone. I’ve spoken to our team about it. Please WhatsApp me on 98xxxxxx so I can make this right.”

What not to do

  • Don’t argue, blame the customer, or share their private details.
  • Don’t copy-paste the same reply on every review.
  • Don’t offer discounts in exchange for removing a review.

How to deal with fake reviews

  1. Report it. On the review, use the option to report it, and choose the reason that fits (for example spam, conflict of interest, or off-topic).
  2. Reply politely anyway. “We can’t find any record of your visit. Please contact us so we can look into this.” Other readers will understand.
  3. Follow up through Google’s review management tool if the review stays up and clearly breaks the rules.
  4. Keep evidence — screenshots and dates — if there’s a pattern of attacks.

The best defence: lots of genuine reviews

One bad review among five looks scary. One among a hundred barely matters. Make asking for reviews a habit — my guide on getting more Google reviews shows how, and my free review link and QR card tool makes it easy for customers.
